Customer Portal for Jewelry Stores
The WJewel customer portal gives each of your customers a window into their own account. They sign in from their phone or computer, see what is left on a layaway, whether a repair is ready, where a special order stands and what they owe, and pay by credit card — any time, without calling the store.

Why a Customer Portal
A lot of the calls into a jewelry store are customers asking about their own account. How much is left on the layaway? Is my ring back from the jeweler? Has the special order come in? Can you send me the receipt for my insurance? Each call takes someone off the floor to look it up, and none of them can be answered after you close.
With the portal, customers look it up themselves, and the answer comes from the same live records your staff see in WJewel.
Signing In with a Code, Not a Password
There is no password for customers to remember or for you to reset. A customer types the email address you have on file for them, and WJewel emails them a six-digit code. The code works once and only for ten minutes. If two customers share an address, neither can sign in with it and the email asks them to contact the store; you can give a customer a login name and password of their own in WJewel instead.
What Your Customers See
- An account summary: the balance due and anything past due, their layaways, special orders, open repairs and appraisals, any store credit, and their last payment, with the balance aged by 30, 60 and 90 days.
- Layaways: each open layaway with its items, every payment made, the next scheduled payment and what is left to pay.
- Repairs: open repairs or all of them, with the status, the promised date, the deposit paid and the balance due.
- Special orders: what was ordered, its due date and status, and the balance left on the order.
- Invoices: every purchase from the last two years, or all of them, each with its items and payments.
- Appraisals: each appraisal with its items and appraised values.
- A statement of the open items, ready to print.
Paying Online
On the Make a Payment page, customers pay by credit card toward their account balance, or toward one open layaway or repair, up to what is left on it. The card number goes into your card processor’s secure form and never reaches WJewel. The customer gets an email confirmation, and your store gets an email saying which layaway or repair the payment is for.
Customers do not even need to sign in to pay. From a customer’s statement in WJewel, your staff can text or email a payment link, and the customer pays by card from their phone in a few taps.
Copies by Email, and a Message to the Store
Every invoice, layaway, special order, repair and appraisal has an Email me button. It sends the customer the same document your store prints, as a PDF, to the address they signed in with. That covers the insurance appraisal they need by Friday and the receipt for a gift, without a call.
The Contact Us page sends a message straight to your store’s email, and your reply goes to the customer’s own address.
Only Their Own Account
A customer sees only their own account, and the portal never shows your cost, vendors or salespeople. Signing in to the portal does not sign anyone in to WJewel itself. It runs in the web browser of any phone, tablet or computer, with nothing to install.
Quick Answers
Do my customers need a password?
No. They type the email address you have on file for them, and WJewel emails them a six-digit code to sign in with. The code works once and only for ten minutes.
What if two customers share one email address?
Neither can sign in with that address; the email asks them to contact the store. You can give either of them a login name and password of their own in WJewel instead.
Can a customer see anyone else’s account?
No. Every page shows only the signed-in customer’s own account, and never your cost, vendor or salesperson details.
How does a payment toward a layaway or repair reach it?
The card payment is recorded on the customer’s account, and WJewel emails your store which layaway or repair it is for, so you can apply it. The customer sees it in the portal as paid online.
Which payment methods can customers use?
Credit cards. The card number is typed into your card processor’s secure form and never reaches WJewel. The customer gets an email confirmation of the payment.
Does it work on a phone?
Yes. The portal runs in the web browser of any phone, tablet or computer. There is nothing to install.
I already use WJewel. How do I start?
Call us at (646) 578-8300 or email info@wjewel.com, and we will help you turn on the portal and give your customers its address.
