Sign in, the home page and the menus

When you start the program, sign in with your user name and password. Your user name decides which options you can use. The home page shows your sales today, this month and this year, what your accounts owe you, and your open repairs. Every option is in the menus across the top: Sales and A/R, Customers, Styles, Manufacturing, Tagging, Payables, Banking, Financial and Reports. Click a menu to see its sections. Sales and A/R has sales orders, invoices, memos, returns, credits, repairs and statements. Click a section to see its options, for example, everything for memos. Styles has your styles, diamonds and stones, inventory, each salesrep's inventory, quotes and findings. Manufacturing has vendor POs, finish and casting reserve, job bags, shop control, stones at each vendor, and gold inventory. If you're not sure where an option is, type part of its name in the search box, and every matching option is listed, with the menu it's in. The options you use most go in your favorites, right on the home page. Each user has their own list.

Styles, bill of materials and diamond lots

New styles are added under Styles, Add/Edit A Style. Type the new style number, and click Add. Give it a description, then its category and metal. Here, a 14K pendant. Vendor info: who makes it, and their style number. Enter the gold weight, 4.2 grams, and the metal cost is worked out from it. Right-click the image box to add pictures: from a file, the webcam, the clipboard or a web address. The picture shows on the style, and prints on invoices, memos, job bags and catalogs. The Stone/Settings tab holds the bill of materials: here, 36 round diamonds at $1,000 a carat, then the findings, the labor, and the setting charges. Every cost adds up on the General tab. With a cost multiplier of 2.5, the price comes to $2,095. Then save the style. Loose diamonds and gemstones are kept as lots, under Diamonds/Stones. Enter the lot number, and click Add A Lot. Enter the diamond's shape, color, clarity, cut grade, weight and measurements, how many are in stock, and the cost and price per carat. The Cert. Information tab holds the certificate, here from GIA, and the Rapaport list price and discount. Then save the lot.

Customers, terms and price files

Accounts are added and edited under Customers. Type the account code, and click Edit. Each account has its billing address, phone, email and other details, including the price file it buys from, a shipping address, and how its orders ship. The Payment Terms tab has the credit limit, here $25,000, and the interest charged on past-due balances, the salesreps and their commission, and the pay terms: here, half in 30 days and half in 60. The buttons below open the account's notes, contacts, credit cards, statement, invoices, memos and POs. A price file sets special prices per style, for every account that uses it. Salesreps, their commissions and commission reports are under Customers, Salesreps.

Quotes and sales orders

Quotes are under Styles, Quotes. Pick the account, and the quote number comes up by itself. Add the styles and quantities. Prices come from the style or the account's price file, and the picture shows beside the lines. Save the quote, and print it, or send it as a line sheet, with pictures and wholesale prices. When the order comes in, enter it under Sales and A/R, Sales Orders, Make/Modify A PO. Pick the account, and click Add. Enter the customer's PO number, the ship date and the cancel date, then the lines: six pendants and 24 rings, $16,770 in all. The account's pay terms come in by themselves. Save the PO. The printed PO shows every line, with pictures, and each style gets a job bag, with its barcode and picture, ready for production. Every open PO is listed, with its ship and cancel dates, and how many are still to ship.

Memos: out, invoiced, returned

Goods go out on memo under Sales and A/R, Memos, Memo Not From A PO. Pick the account, and the memo number comes up. Enter what's going out: two pendants and six rings, at the account's prices. Save, and the pieces move from your stock to the account's memo. The memo prints with or without pictures, or goes out by email. When the account sells pieces, turn them into an invoice with Sold From Memo. Pick the account, click Open Memos, and enter what was sold: one pendant and three rings. Save, and it's a regular invoice, on the account's terms. Pieces that come back go on an RTV memo, under Returns. Pick the account, open its memos, and enter what's coming back: two rings. Save, and they're back in stock. The memo's status shows it all: what went out, what was invoiced, what came back, and the pendant and ring still out.

Invoicing a customer PO, and repairs

To invoice a customer PO, use Sales and A/R, Invoices, Invoice From A PO. Enter the PO number, and the account and the next invoice number fill in. Every PO line is listed with its balance. Ship what's ready, here the 24 rings, and save. The six pendants stay open on the PO until they're made. The invoice prints with the account's billing and shipping addresses and its terms. Repairs are under Sales and A/R, Repairs: take a repair in, track it, and invoice it. The list shows every repair order, its dates, and what's still open.

Salesrep inventory

Pieces your salesreps carry on the road are tracked under Styles, Salesrep Inventory. Pick the salesrep, and scan or type the styles you're handing over. Click Add, and they move from your stock to the salesrep's line. You always know what each salesrep is carrying, with pictures and cost. Pieces come back the same way, and the rep can invoice right from the line.

Manufacturing: vendor POs and job bags

Production runs from the Manufacturing menu. Vendor POs can be made by hand, from your customer POs, from what sold, or for styles below their minimum stock. Process Customer POs picks up the open lines of your customer POs, here the sample order, and lists what to order from each style's vendor: the six pendants still open, at their cost. Click OK, and the vendor PO is ready to send, with pictures. Job bags move through the shop under Job Bag Processing. Scan the job bag's barcode, choose who's getting it, here casting, and the gold weight given out, and save. Every step stays in the job bag's history: who had it, when, and the weight given and returned. Shop Control has the jobs service queue, with every job at every station.

Inventory, physical counts and tags

Stock is kept under Styles, Inventory: add to stock, adjust it, and print what's in stock. Print Items In Stock filters by vendor, brand, category, metal, price and more, with or without pictures. Here is everything in stock from one vendor, with what's out on memo and with salesreps, and its cost and price. The physical inventory options count your stock with barcodes or RFID, compare the count to the books, and make them match. Tagging prints style tags, shipping tags and generic tags, and the tag designer sets what goes on each tag, and where.

Statements, aging and payments

Statements and aging are under Sales and A/R, Statements/Aging. An account's statement covers its invoices and its memos: here $6,820 invoiced, $2,270 still out on memo, and what's due when. Send Payment Link texts or emails the account a link to pay by credit card. The aging report shows what every account owes, and how late it is. Payments are entered under Funds/Credits, Add A Cash Receipt. Enter the account, the bank it's deposited to, the check number and the amount, then apply it to the invoices it pays. Save, and the invoice is paid.

Payables, banking and the books

Payables has bills, vendors, vendor statements, payments, credits and consignments. Enter vendor bills with or without styles, for findings, or for job bags, and pay them by check, one vendor at a time or all at once, with a check register and 1099 reports. Banking keeps your bank transactions and balances, reconciliations, bank accounts and deposits. Connect a bank through Plaid, and download its transactions straight into the program. And Financial has the general ledger, the trial balance, the income statement and the balance sheet.

Reports, the sales dashboard and Ask AI

Reports has analytics, sales and profit, invoices and memos, receivables, salesreps, payables, inventory and sales orders. Analytics has best sellers, worst sellers, days on hand, forecasting, and much more. Best sellers, here for today, shows what sold, with pictures, quantities and amounts. The sales dashboard shows sales today, this month and this year against your targets, with charts by month and by day. And Ask AI answers questions in plain English, straight from your data. Ask which styles Demo Jewelers bought this month, and the answer comes back in seconds, with the numbers behind it.
