A different business

Jewelry wholesale is a different business from retail, and software written for retail shows it within a week. Here's what makes it different: your customers are stores, not consumers, and half of what you ship goes out on memo and comes back in pieces, every account has its own price while metal moves daily, and chain-store orders arrive by EDI, with a chargeback behind every mistake.

What wholesale software must do

So wholesale software has to do seven things: handle memo in and out as real transactions, with partial returns and aging, and price per account, adjusting gold pieces from the daily rate, hold catalogs, line sheets and quotes with photos, and run purchase orders, receiving and payables, manage manufacturing with a bill of materials, handle EDI and shipping, and post to the books, with real reporting.

One memo, three outcomes

Here's one memo, with three outcomes. Forty pieces go out before a trunk show: $20,000 of your inventory. The retailer keeps twelve, returns twenty-five, and three are unaccounted for. The twelve become an invoice at their price, the twenty-five are back in stock that day, and the three stay on memo, aging. Multiply that by thirty accounts.

Red flags on a demo

Watch for the red flags on a demo: “memo” that's really an invoice with a flag, a separate price list for every customer, and line sheets that only work on a desktop, a QuickBooks link that posts one lump sum a day, and no way to hold metals and stones against a style.

Bring your own case to the demo

Bring your own case to the demo. Memo out a mixed lot, convert part and return part, reprice a gold line after a rate change, and ask what the accounting link posts, and about migration and training.
