Why repairs matter

Repairs are one of the highest-margin, most relationship-building services a jewelry store offers. They pay well, they build trust, and they bring customers back through the door. And they're easy to get wrong: a lost ring, a missed deadline, or an unanswered call can undo years of trust.

What a modern repair workflow needs

Repair tracking software manages every job from intake to pickup. A modern workflow needs nine things. Intake with photos and condition notes, an estimate the customer approves, and a deposit. Assigning the job to a jeweler or an outside vendor, a clear status from received to ready, and text and email updates. A chain of custody, with every handoff logged, pickup with a signature, and revenue and cost posted automatically.

Why a notebook doesn't work anymore

A paper notebook can't keep up. Customers expect text updates, and insurance claims need photos. Bookkeepers need clean revenue posting, and owners need to see which jeweler is the bottleneck.

Customer communication: the easiest win

Most repair complaints aren't about the work. They're about not being told what's happening. When a status change sends the customer a text or an email, the “is it ready yet?” calls drop, and satisfaction climbs.

Repair reports owners actually use

And these are the repair reports owners actually use: an aging report of every job over a set number of days, and each jeweler's productivity and turnaround, outside-vendor performance, repair revenue and margin by category, and the repair value of repeat customers.

Repairs in WJewel

Here's a repair in WJewel. Pick the customer and click Add. Enter the work to be done and its price, take the customer's deposit, and save. Saving creates a job bag that follows the job through the shop and shows who worked on it, plus the gold or diamonds used, so you know the real cost. Use your own repair codes or Geller Blue Book codes, and mark a repair as an estimate only, or declined by the customer. Shop Control shows which jeweler is working on each job, the materials used, which jobs are late, and more. When a job is ready, the customer can be texted or emailed automatically. At pickup, the customer pays the balance and the repair is closed.
